1. Who we are
The Net Studios Ltd (“The Net Studios”, “we”, “us”, “our”) is a branding and content studio based in Nottingham. We are the data controller for the personal data described in this policy, and we are registered with the Information Commissioner’s Office (ICO).
• Registered in England and Wales, Company No. 17105365
• Registered office: 16 Commerce Square, Nottingham NG1 1HS
This policy explains what personal data we collect when you visit thenetstudios.com, get in touch with us or work with us, why we collect it, and the choices you have. We keep it simple: we only ask for what we need, and we never sell your data.
2. What we collect
When you contact us. If you use our contact form, email us, call us or message us on social media, we collect your name, email address, phone number (if you give it), the service you are interested in, and anything you tell us about your business or project.
When you subscribe to The Brand Guide. If you sign up for updates from our blog, we collect your email address so we can send them to you.
When you work with us. For clients, we also hold contact details for you and your team, project briefs, files and content you share with us, contracts, invoices and payment records.
When you browse our website. Our website is hosted by Framer. It records basic technical information such as your browser type, device, pages visited and approximate location, so we can keep the site secure and understand how it is used. This is reported to us in aggregate and we do not use it to identify you.
3. How and why we use it
UK data protection law requires us to have a lawful basis for each use of your data. Ours are:
• To reply to your enquiry and talk about working together: our legitimate interest in responding to people who contact us, or steps you ask us to take before entering a contract.
• To deliver the work we agree: performance of our contract with you.
• To keep accounting and tax records: legal obligation.
• To send you The Brand Guide updates: your consent, which you can withdraw at any time using the unsubscribe link in any email or by contacting us.
• To run, secure and improve our website: our legitimate interest in having a working, secure website.
We will not send you marketing you have not asked for, and we do not use automated decision-making or profiling.
4. Who we share it with
We share personal data only with trusted providers who help us run the business, and only as much as they need. They act on our instructions and must keep your data secure. These include:
• Framer, which hosts our website and processes contact and subscription form submissions
• Tally, which processes some of our enquiry and onboarding forms
• Our email, file storage and accounting providers
• Our accountant, for bookkeeping and tax
We may also share data where the law requires it, for example with HMRC or in response to a valid request from the authorities. If you work with us alongside a trusted collaborator on a project, we will tell you who they are before sharing anything.
5. Cookies and third-party content
We keep cookies to a minimum. Our website uses only what is needed for it to work and for basic, privacy-friendly usage statistics.
Some pages show a Google Map so you can find us. Google may set its own cookies when the map loads, under Google’s privacy policy. Our site also links to our Instagram, TikTok and LinkedIn profiles. If you follow those links, the relevant platform’s own privacy policy applies.
You can block or delete cookies in your browser settings at any time.
6. International transfers
Some of our providers store or process data outside the UK. Where they do, we make sure your data is protected by UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.
7. How long we keep it
• Enquiries that do not lead to a project: up to 12 months after our last contact
• Client records, contracts and invoices: 6 years after the end of the financial year the work ended, as required for tax purposes
• Brand Guide subscribers: until you unsubscribe
• Website usage data: in line with Framer’s standard retention
After that we delete or anonymise it securely.
8. How we protect it
We use secure, reputable providers, strong passwords and two-factor authentication, and we limit access to the two of us and anyone who needs it to deliver your project. No system is completely risk-free, but if something ever went wrong we would act quickly and tell you and the ICO where the law requires.
9. Your rights
Under UK data protection law you have the right to:
• ask for a copy of the personal data we hold about you
• ask us to correct anything inaccurate or incomplete
• ask us to delete your data
• ask us to restrict or stop using your data, or object to how we use it
• ask for your data in a portable format
• withdraw your consent at any time, where we rely on it
To use any of these rights, email hello@thenetstudios.com. There is no charge, and we will respond within one month.
10. Complaints
If you are unhappy with how we have handled your data, please tell us first at hello@thenetstudios.com and we will do our best to put it right.
You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
11. Children
Our services are for businesses and their founders. We do not knowingly collect data from anyone under 16.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date at the top.
